Conference and annual conference management

Annual conference management, from delegate one to debrief

An annual conference is the one event where everything is visible: the registration queue, the wifi, the microphone that was not tested, the lunch that ran out. We manage UK conferences end to end — venue, delegates, speakers, production and the run of show — so the day reads as one thing rather than eleven suppliers.

    • Delegate registration, badging and on-site check-in
    • Speaker liaison, content deadlines and rehearsal management
    • AV and staging specified independently of the venue
    • One run of show, rehearsed before doors open

Delegate management that does not fall over at 08:45

Registration is the first impression and the most common failure point. We build the registration path, manage the data, produce badges, and staff check-in to a throughput target so a 400-delegate arrival does not become a 40-minute queue.

    • Registration platform setup, ticketing and delegate comms
    • Dietary, accessibility and session-choice data captured up front
    • Badge production and on-site check-in staffing sized to arrival peak
    • Live delegate list and no-show reconciliation

    Speaker and content management

Most conference overruns start with content that arrived late and was never rehearsed. We run a deadline schedule for decks, collect and format them centrally, brief speakers on timing and stage direction, and rehearse transitions so the programme holds without the chair having to police it.

    • Speaker briefing packs, travel and accommodation
    • Central deck collection, formatting and version control
    • Technical rehearsals and stage-direction walkthroughs
    • Chairing support and timing discipline on the day

    Academic and membership conferences

Academic and association conferences add abstract handling, parallel sessions, poster space, committee approval cycles and often a tight cost ceiling per delegate. The logistics are heavier than a corporate conference of the same size, and the scheduling has to survive late programme changes without reprinting everything.

    • Abstract submission, review workflow and programme building
    • Parallel-track scheduling and room turnarounds
    • Poster sessions, exhibition space and sponsor management
    • Delegate-cost modelling for committee approval

    Production and AV

We specify AV to the room and the content, then price it against the venue's in-house option. Screen size and sightlines are set from the back row, comfort monitors and countdown clocks are standard, and every session's technical requirement is documented before rehearsal day rather than discovered during it.

Ranges reflect the scope we usually deliver at each level. Site conditions, season and specification move them — a costed proposal replaces the band within 24 hours of your brief.

    How we run it

    1. 01

      Scope and delegate model

Headcount, format, tracks and the cost per delegate you need to land on — set before venues are shortlisted.

    2. 02

      Venue sourcing

Shortlist against capacity, sightlines, breakout provision and realistic total cost, not headline day-delegate rate.

    3. 03

      Registration build

Registration path, delegate comms schedule and data capture live early enough to drive attendance.

    4. 04

      Content and rehearsal

Speaker deadlines, deck collection, technical rehearsal and a documented run of show.

    5. 05

      Delivery and reporting

On-site management, live issue handling, and post-event reporting on attendance, sessions and spend.

    From the delivery side

Things worth knowing before you brief anyone

    • Arrival throughput, not total headcount, sizes the check-in desk: plan for 60% of delegates arriving inside a 30-minute window.
    • Day delegate rates rarely include the AV you actually need — compare total cost including AV, wifi bandwidth and room turnarounds before choosing a venue.
    • Venue wifi included in the package is usually shared and unsuitable for live streaming; a dedicated line needs ordering weeks ahead.
    • Breakout room turnaround time is the hidden constraint in parallel-track programmes; the schedule has to allow for furniture changes, not just walking time.

    Frequently asked

What does a conference management company do?

Venue sourcing and contracting, delegate registration and communications, speaker and content management, AV and production specification, budget control, on-site delivery and post-event reporting — as one accountable scope rather than separate suppliers.

How much does it cost to run an annual conference in the UK?

Indicatively, a single-day conference for up to 150 delegates runs £15k–£40k, 150–500 delegates £40k–£120k, and multi-day or residential events above £120k. Venue choice and AV specification account for most of the variance.

How early should we start planning an annual conference?

Nine to twelve months for anything over 250 delegates, mainly because suitable venues with the right breakout provision book that far ahead. Registration should open at least three months before the date to drive attendance.

Do you manage academic and association conferences?

Yes, including abstract submission and review workflows, parallel-track programmes, poster sessions, exhibition space and committee-facing delegate cost modelling.

Can you handle hybrid or streamed conferences?

Yes. Streaming needs a dedicated internet line, a separate audio feed and a director's plan for the remote audience — we specify all three up front rather than adding a camera at the back of the room.
