    Things worth knowing before you brief anyone

    • Central London venue minimum spends rise sharply between September and early December — moving a date by three weeks routinely saves more than any negotiation will.
    • Venue in-house AV packages are usually specified for the room, not for your content; pricing an independent AV spec against them is the single most reliable budget saving.
    • Dietary and accessibility requirements need to reach the venue 10 working days out, not the week of — most on-the-day failures start there.
    • Contract the cancellation and reduction clauses at the point of booking; headcount almost always moves and the terms are far harder to change later.

    Ask who will actually be on site — many agencies sell with a director and deliver with a coordinator. Ask whether supplier costs are passed through transparently or marked up.
